The Client

Perth Bridal Fair is a prestigious 2-day yearly wedding expo hosted at the Perth Exhibition Centre. The expo is home to hundreds of stalls, the latest in wedding fashion and accessories and several guest speakers spelling out the latest in tips for weddings and related events. AB Web Developers have been hosting and developing the Perth Bridal Fair website for several years, maintaining the Wordpress installation and keeping the site content updated and fresh.

The Challenge

In 2012, Perth Bridal Fair wished to implement an automated ticketing system for the 2013 Perth Bridal Fair event. In prior years, the tickets were manually checked on entry, a timely process that caused long queues at the event and caused some inconvenience to the event visitors. AB Web Developers were tasked with creating an automated ticketing system that would allow visitors to the website to purchase tickets online using a credit card. Once purchased, the tickets would be emailed to the visitor in order to print and present at the event.

In addition, AB Web Developers needed to develop a scanning tool that would allow staff at the entry to the expo to scan the tickets quickly and easily. The scanning tool would check with the online tickets database to determine whether the ticket was valid for that day or whether it had been previously used. Upon scanning, the ticket had to be marked as redeemed and a message shown if the same ticket was used to enter - allowing the staff to determine if the person is allowed back in to the event. If the ticket was for another day or was using an invalid code, the scanning system needed to indicate this.

The Solution

Due to a limited budget, renting or purchasing the proper commercial ticket scanner systems was ruled out. We decided to implement a scanning system using mobile phones to keep costs down.

Each ticket was imprinted with a QR Code that would be scanned by the staff member's mobile phone. The QR Code contained a URL that would connect to the online ticket system on specially configured mobile phones - for normal users, it simply linked to the Perth Bridal Fair website.

We developed an administration area that was responsive, therefore allowing the ticket scanners to easily use the system on their mobile phones, whilst also providing a full-featured system for administrators using the ticketing system on their computers. The administration system allowed event organisers to see all tickets purchased, as well as who purchased them and whether or not they actually attended the event. As well as managing the tickets, it also allowed event organisers to register exhibitors for the event. When an exhibitor was added to the system, their details would appear on an exhibitors' list on the main Perth Bridal Fair website.

Overall, the system was a success in that it increased the speed in which event staff signed people through the entrance and gave Perth Bridal Fair a wealth of information on their attendee and exhibitor bases.
